How do I Create a Template?

What is a Template?

When you create a new job in vWork, you can create a job from scratch and define it on the fly or you can use one of your templates.
Templates are an easy way to be able to create the same type of job over and over again.

Why do I need to create templates?

If you frequently serve the same customer or book the same jobs, templates are a great way to save you time.  

Creating standard job templates is essentially creating a job form that ensures the same information is collected each and every time a new job is created.  Ensure consistency and accuracy with templates. 

Reporting and alerting is also based off job templates.

How do I Create a Template?  

To create a new template, go to the template settings page.
You can find this page by clicking the Settings > Templates menu. 

On the template settings page, you can click the "Add Job Template" button to open the template editor.

Please give your template a name so that you can easily identify it when creating new jobs.

If you have a template you only plan to use with one customer, you can add the customer name to the template, but this is optional.

You can also adjust the planned duration of the job, this simply defines how large a block of time the job fills on the worker's schedule.

If this template is always going to be used for the same worker, you can fill in the worker name at this point, but this is optional. Most jobs get the worker assigned later in the process.

You can now define the steps that make up the job. Steps are the mandatory things that a worker must do to start and finish a job. You can have a simple one step job or you can add multiple steps to track the job through it's progression. You can add addresses to any step you wish.

As well as steps, you can also add extra custom fields to the job. Custom fields are used to supply extra information to workers in the field or collect information as the job is being completed. There are 8 different types of custom fields:

  • Free Text  - allows workers or dispatchers to enter text as required
  • Image - allows dispatchers and workers to add photos to a job
  • Date and Time - allows dispatchers and workers to add dates to a job
  • Number - allows dispatchers and workers to add number fields to a job
  • URL - allows you to add links to websites or externally hosted images
  • Checkbox - allows you add a checkbox 
  • Currency - allows you to add a field that requires the entry to be in the form of a dollar amount.
  • Pick List - allows you to define your own list of pre-defined option.
  • Multi-value pick lists - these are the same as pick lists however you can choose more than one option at a time.
  • Header section - this is just an line spacer so you can separate lots of fields (these show up collapsed by default - so your workers dont have to scroll through pages of info).
  • Signature - you can add many signatures named differently throughout the job.

You can add as many custom fields as you need to each template and each custom field also has a permission.  The permission defines how the mobile worker interacts with the field:

  • Optional - the field is not required, it can be empty
  • Read Only - allows your worker to see the field, but not edit it
  • Hidden - hides the field from your worker, but still available to your dispatcher
  • Required - a job cannot be completed unless this field has been filled in 

In the example below we have created a mandatory checkbox custom field called Safety Check. The worker will not be able to complete this job until he has ticked the checkbox.

Depending on your account settings, you may see extra options on the template editor such as job labels, equipment, groups or invoicing. These are all optional extra settings.
