The Repeating Jobs feature enables you to automatically create and schedule jobs to recur on a regular cycle for a customer. This feature saves you time, helps you manage your workload, and makes sure you don't miss scheduling jobs for your regular customers.
There are two versions of Repeating Jobs in vWork,
- Repeating Jobs v1 sets up jobs to repeat based on a specific customer that requires the same job performed for them on a regular cycle. This version works best for many customers where each customer has one site they need to be serviced.
Repeating Jobs v1 is a standard vWork feature that you can use once it is enabled in the Settings.
The advantage of v1 is that it does not require assets, different custom field values can be added to each repeating job schedule, and equipment can be used with this version. Disadvantages are that jobs created through an established repeating job schedule won't automatically update when you make changes to the template the repeating job uses. You also cannot create a schedule that creates repeating jobs for multiple customer locations or change repeating job intervals to cater for seasonal changes to job scheduling.
- Repeating Jobs v2, must be used with vWork's optional Assets feature and is an optional add-on to your vWork account. It is suitable for doing the same job for a single customer on a repeating cycle at many different sites. Enable Repeating Jobs in the settings
Before you can use Repeating Jobs v1 you must enable Repeating Jobs in your vWork settings.
To do this:
- Go to Settings > General
- Scroll to the Repeating Jobs section.
- Check the checkbox next to Enabled? This will allow you to set up and create repeating jobs in your account.
- Make sure you click to save the change to the vWork settings.
Create a template for your repeating job
Repeating Jobs v1 uses a single job template for each repeating job. Before you can create a repeating job cycle you must have created a template for the repeating job. If you haven't already created the job template that you plan to use the article, How do I create a Job Template?, explains how to do this.
Note: nce a repeating job is created using this template future changes to the template won't update in the repeating jobs.
Set up a repeating job schedule
Once you have enabled repeating jobs in your account, and have created a job template, you can set up the job that you want to repeat on a regular cycle.
When you set up a repeating job schedule you are getting vWork to automate two tasks for you.
- vWork will create the job based on the job template and the job information that you provide in the Job Details.
- vWork will schedule the job based on the schedule that you create.
To set up a repeating job schedule:
- Go to Jobs > Repeating Jobs.
- Click Add Repeating Job and choose the template you want to use for the job. This opens the page where you create the repeating job schedule.
In this example, we select the Home Care template, once we click the template the page where we set up the repeating job opens.
You can see the name of the template you are using for this repeating job next to the Create Repeating Job Heading.
- Click in the Repeating Job Name field and type a name for the repeating job.
In this example, we are going to do the same job for Artie Mural on a weekly cycle; we have called our repeating job Weekly : Artie Murial.
- Go to the Creation Schedule section. This is where you set the schedule for the repeating job. The schedule tells vWork both when to create the job and when to schedule it.
In this example we want the job to be created and to show on the schedule 2 days before the job start time; in the Create Job field, we entered 2. We also want the job to occur every Wednesday, starting on 3 August 2022, and repeat each week until September 28, 2022. We entered this information in the other fields.
Note: When the Create Job field is set to 0 days, and no start-time is saved in the Job Details, the job is added to the jobs list at 12.00 am on the day of the job. When the job has a start time saved in the Job Details and the Create Job field is set to 0 days, we create the job at the start time on the current day.
- Enter the job's details in the Job Details section in the lower half of the page. This is just like creating a regular job; you can choose the customer, choose the worker, choose the start time, and enter details in any required steps or custom field information.
- When you have entered all the job information click Save Repeating Job to save the repeating job schedule.
This saves the repeating job to the repeating jobs list. This is where you can see when the next repeating job is scheduled.
What to do if you want to change a template used in repeating job v1
If you make changes to the template used in a repeating job the change won't transfer to existing or future jobs that are created from the repeating job.
To overcome this is to make changes to the template and then replace the repeating job you have set up with a new repeating job.
