Job - A Job is a discrete piece of work completed by a worker. Each job is created, scheduled, completed and invoiced separately.
Quote - A quote is very similar to a job but it does not create an invoice. Instead it can be sent to the customer for approval. When a quote is approved, a job is created based on the quoted details.
Template - A template is an easy way to quickly create new jobs based on a set of steps and custom fields that you define.
Planned Duration - How long a job is expected to take.
Actual Duration - How long the job actually took based on when the first step was completed and when the last step was completed. vWork automatically calculates the length of time for billing purposes.
Job Step - Job steps are the mandatory steps a worker must complete on a job. You should have more than one step so that you can track the duration of a job. Each job step may have a separate address.
Custom Field - Custom fields allows you communicate extra information about a job with a worker in the field. There are different field types, including: text, photo, number, date, link, etc... Each custom field also has a permission so you can select what a field worker is allowed to do (hidden, read only, optional, and mandatory).
Invoice - If you enable invoicing in vWork, an invoice can be automatically produced for each job. The invoice includes the time spent on the job by worker, estimated distance, and any materials used in the completion of the job.
Line Item - A line item is a specific item that appears on an invoice. It includes several attributes such as: code, description, quantity requested, actual quantity and price.
Pricebook– A pricebook is a list of all your materials and labour costs. Create your pricebook and then upload it as a CSV file with all of your materials and prices. You can use different pricebooks for each of your templates if you wish.
Pick List - A pick list is a custom field type that consists of a pull down menu of pre-defined items or status's. You can use this to create lists of items so that your workers can do less typing.
Schedule - The schedule tab in vWork displays all of your workers, all of their currently assigned work as well as any work that still needs to be scheduled. While you can create new jobs in this view, it is usually used to get an overview of all the current work and identify any gaps where productivity could be improved.
Equipment - Equipment can either be equipment owned by customers or owned by your own company. In either case you can record information about the equipment make, model, serial, etc…and setup repeating maintenance schedules.
Group - Groups allow you to break down your account into different company departments or geographic regions. You can setup dispatchers for each group, so you have one dispatcher looking after each group of workers.
Job ID - Each job has a unique ID created by vWork. If you are creating jobs via the API, you can create your own Job IDs.
Worker - A worker is a vWork user who only has permission to use the mobile app. By default, they can only complete work that is assigned to them. But you can give them permission to create jobs and assign them to other workers from the mobile app.
Admin - Administrators have full access to all account settings. They can dramatically change how vWork functions so you should limit this access to very trusted staff.
Dispatcher - Dispatchers generally use the vWork website to create and schedule jobs for workers. You can customise what parts of the website they are allowed to use.
Repeating Job - Repeating Jobs look exactly like regular jobs but you can have them automatically created on a defined scheduled. (once a day, once every 3 weeks, 5th of every month, once a year, etc...)
Unassigned Job Status - An unassigned job is a job that has been created without a worker. It may or may not have a start time. (If it does have a start time, it will appear in the schedule workbench to remind dispatchers they need to assign it to a worker.)
Unpublished Job Status - An unpublished job is a job that has a worker and a start time but has not yet been sent to the worker's phone. To send the job to the worker, simply click the "Publish" button on the schedule.
Pending Job Status - Pending jobs are jobs that have been sent to the worker's phone, but the worker has not accepted or declined them yet. (This status only appears on accounts where accept/decline has been enabled in the account settings.)
Postponed Job Status - Postponed jobs are jobs where the customer has declined the planned start time. These need to be re-assigned by a dispatcher. (This status only appears on accounts where "Customers Can Postpone Jobs" has been enabled in the account settings.)
Assigned Job Status - This is a job that has been successfully given to a worker.
Declined Job Status - This is a job that a worker has declined. (This status only appears on accounts where accept/decline has been enabled in the account settings.)
Started Job Status - This is a job where at least one step has been completed.
Paused Job Status - This is a job that has been started but then paused either by the worker or the dispatcher. When jobs are paused this time is not included in the job's duration.
Completed Job Status - A job where the last step has been completed.
Workbench - The workbench is shown at the top of the schedule, it shows jobs that require attention from a dispatcher (declined jobs, scheduled jobs with no worker assigned, jobs not started on time, etc...)
Publish - The schedule allows you to drag jobs around and play with different schedule options without sending the jobs to the worker's phones. Once you have created the schedule you want, you need to click the publish button to send the jobs to the workers.
Accept and Decline - Accept and Decline is an optional setting in vWork that allows workers to either accept or decline a job. You can also set this up so that jobs not accepted in a certain amount of time are automatically declined. This can be useful if you have jobs that must be started quickly, such as a taxi or courier business.
Multi Assign Job - Multi Assign (or Broadcast Dispatch) is an optional accept and decline setting. If this is turned on, you can send jobs to multiple workers and whoever accepts the job first is given the job. It will be automatically removed from the other workers once this occurs.
Reports - The reports tab in vWork includes half a dozen pre-defined reports as well as a custom report option. You can use the filters to select what data you need in your report.
Scheduled Report - Scheduled reports use the same filters as reports, but can be setup so that they are automatically emailed to you on a regular basis.
Favorite Report - Allows you to create a custom report with a pre-defined set of filters and book mark it for use later on.
Auto Report - Auto reports are automatically emailed to you when a job is completed. You can select either job status report or an invoice report.
Alerts - There are over two dozen different alerts that you can use to email or SMS you when certain things happen to a job. You can find these alerts on the reports tab.
Account Plan - There are 4 different vWork plans, each plan has a different set of features as well as a different cost per user. All users in an account must be on the same plan.
Licenses - Each vWork login needs to have a license. (This includes office workers as well as mobile workers.) You can select as many licenses as you need on the My Account page.
Customer Portal - You can setup a vWork Customer Portal so that your customers can login to vWork, create jobs and see the status of their existing jobs.
Customised Branding - You can upload your logo to vWork so that it appears on your customer portal and on all your report headers.
API - The vWork API allows developers to integrate vWork with other software programs. New jobs can be created via the API and job data can be pulled out of the API for use elsewhere. All of the documentation can be found here.
