How can I set up individual charge-out rates for users and equipment?

You can charge different rates for your users and equipment

You can charge users and equipment out at different rates for both hours and mileage (distance traveled) and have this automatically added to your invoice as a line item. This is valuable when you have skilled workers and specialized equipment.

How do I set up different rates for individual Users?

The vWork default that is used to set a single standard hourly or distance rate for all users and equipment is disabled in the Finance settings once this option is enabled in your account. Instead, you set the rate for each user in their User Details.

To set the hourly and mileage rates for a User:

  1. Go to Settings > Users > Users
  2. Select the name of the worker and open their User Details.
  3. Enter an hourly charge-out rate in the Hourly Rate field. In this example, the worker is charged out at $60 per hour.
  4. Enter a rate per Kilometer or Mile in the Distance Rate field. In this example, the worker is charged out at a rate of $2.00 per kilometer.
  5. Click Update to save.

How do I set up different rates for individual items of Equipment?

Once this feature is enabled in your account, the vWork default to set one standard Hourly and Distance Travelled rate for all Users and Equipment in the Invoicing settings is disabled. Instead, you set the rate for each item of equipment on the Equipment page

To set the hourly and mileage rates for an item of Equipment:

  1. Go to Settings > Equipment. This is where Equipment is listed and you can add new equipment.
  2. Select the Equipment item to edit its details, or
    click +Add Equipment to create a new piece of equipment.
  3. Enter an hourly charge-out rate in the Hourly Rate field.
    In this example, the worker is charged out at a rate of $80 per hour.
  4. Enter a rate per kilometer or Mile in the Distance Rate field.
    In this example, the worker is charged out at a rate of $2.00 per kilometer.
  5. Click Update Equipment to save.
