By default, bulk imported customer addresses are not geolocated. Geolocation is the process of converting a street address to a point on a map. The address is found on the map using latitude and longitude coordinates.
You need to geocode customers' addresses (provide latitude and longitude coordinates for them) in order for them to be geolocated on the map.
Two methods to geocode customer addresses
There are two ways to geolocate bulk imported customer addresses:
- bulk import the address information in a CSV file along with other customer data
- manually add geolocation information through the customer record.
Bulk import geocode address coordinates
You can bulk import the latitude and longitude coordinates along with the address from a CSV file. vWork can plot customer locations on the map from this information. There are three columns of data you need to provide in your CSV file: delivery contact formatted address, delivery contact lat, and delivery contact lng. Here is an example:
For more information on bulk importing customers please see the article: Bulk import your customers.
Export your customer records then reimport with geocoded data added
If you have bulk imported your customers from a software integration such as Xero, Quickbooks Online, MYOB, or Salesforce your customer data will not include geocoded data for your site and billing addresses. You can export your customer records to a .CSV file and add in geocoded data to bulk add this to your customer records.
When you export your customer records and reimport the data this overwrites data that has been changed and adds new data in your customer records. It does not modify data that has not changed.
To export your customer records to a .CSV file:
- Go to the Customers tab
- Click Export. Your customer records are exported as a .CSV file in the format you need to add the latitude and longitude coordinates to the site (delivery) and billing addresses.
Add the geocoded address in the customer record
If you don't know the latitude and longitude of your customer addresses, and you have imported them without this data, you can update the address with the geocoded data through the customer record provided the address format is: Street address, City, Country. This creates the customer record with an address in vWork.
When you click the address field in the customer record you can choose from a selection of addresses to manually add the geocoded address. Here is an example of the correct format to include in the CSV file.
This is where you add the geolocated site address in the customer record.
This is what it looks like once it is geolocated.
