Automatically add hours and mileage line items on an invoice using an individual charge-out rate

There are 2 steps to enable working hours and mileage to show automatically on your invoice as line items when you have different rates set for individual workers and equipment:

1. Set the hourly and distance rates. This is explained in the article Set up individual charge-out rates for users and equipment.
2. Set the job templates to automatically add hours and mileage as line items to job invoices. This step is explained below

🔔Note: these instructions only apply if you have chosen the option to use different rates for individual workers and equipment items. This is an optional vWork feature. If you haven’t chosen this option you can still automatically add a standard rate as a line item for hours or mileage.  See the articles:

Set a template to automatically add hours and mileage as a line item to an invoice

You set a Job template to automatically add hours and mileage as line items to invoices in the Invoicing tab.

1. Go to Settings > Templates > Jobs.
   
   
2. From the list of templates, click the name of the template you want to use for invoicing to open it.
   
   
3. Click the Invoicing tab to select it.
   
   
4. Click to enable invoicing if this has not been enabled for this template.
   
   
5. Click to delete the default line item if this is not required on the invoice.
   
   
6. Select the corresponding checkboxes for the line items you want to show.
   Choose from:
   • Generate worker hours line item automatically when job is complete - to add worker hours.
   • Generate worker travel distance line item automatically when job is complete - to add the mileage. 
   • Generate equipment hours line item automatically when job is complete - to add the hours that equipment is assigned to a job.
   • Generate equipment travel distance line item automatically when job is complete - to add the mileage attributed to equipment added to a job.
     
     

7. Click Create (for new templates) or Update (for existing templates) to save the template.
   
   

🔔Important: If you use an EROAD telematics device to calculate mileage, jobs that take more than 30 days to complete will not have EROAD mileage added as a line item automatically.
