You can create, edit, download and email an invoice for a job from the mobile app. You can also download, email and print a job status report.
Invoices are created and edited in the 'Invoice' screen on the vWork mobile app
An invoice has a description field and lists materials and labour required to complete a job. You can add and edit the description, and add and edit line items for an invoice (if your vWork Admin has enabled this permission in your 'Mobile permissions').
💡 Tip: You'll only see the 'Invoice' screen if invoicing has been enabled for the job that you are working on.
The Status Report shows all important information about a job, such as when job steps are completed and the step address information, and information captured in the fields for a job.

Add details to a job invoice
Invoices are created and edited in the Invoice screen for a selected job.
To update a job invoice in the iOS vWork mobile app:
- From any screen when you are working on a job in the vWork mobile app, tap the Invoice item to open the 'Invoice' screen.
Edit or add the invoice description
There may already be an invoice description that you want to update, or you may need to add one. This is done in the invoice description field at the top of the screen.
To edit or add the invoice description:
- Tap in the invoice description field to open the editing screen for the invoice description.
- Type a description line for the invoice and tap '<Invoice' in the red banner when you are done to return to the invoice screen.
In this example, we have added a new invoice description as there wasn't one for this job.
- The invoice description shows in the invoice description field.
🔔 Note: If you have 'Description Tokens' in the invoice description these continue to show as tokens until the value that they are a placeholder for is captured. For example, if you have the 'Job Completed Date' token this remains looking like this '{{Job Completed Date Not Available}}' until the job is completed and the job completed time is saved with the job.
Add or edit an Invoice line item
You can edit existing invoice items and add new line items to the invoice if you vWork Admin has given you Full permissions for the Invoice Mobile Permission.
- Tap to add a new line item to the invoice.
Alternatively, to edit an existing line item, tap it.
In this example, we will add a new line item to the invoice. We tap .
- If the job has a pricebook associated with it, you will have the option to select the pricebook to then select line items from it. You may also be able to add a custom item. Tap to select the source that you want to use for the invoice line item you are adding.
💡 Tip: If there is no pricebook associated with the job the line item editing screen opens and you won't see these options.
In this example, we want to add a custom item so we tap Add custom item.
- In the 'item' screen tap each field and enter the information for the line item. When you are done tap '<Invoice' in the red banner to return to the 'Invoice' screen.
- The new line item is added to the invoice or, if you modify an existing line item, the modified line item information shows for the existing line item. The 'Subtotal', 'Tax' and 'Total' are also automatically calculated and show at the bottom of the invoice.
Print or email a job invoice or status report
Once the job is completed you can send the Invoice by email to anyone, or generate it as a PDF for printing to a connected printer or saving to your device. You can also do the same for a job status report.
Print a job invoice or status report
To print a job invoice:
- From the 'Details' screen for the job, scroll to the bottom of the screen and tap Reports.
- A list of options shows. These enable you to print or email the invoice or a status report. We will use the example of the invoice - but these steps also apply for a status report.
To print the invoice tap Print Invoice.
- A PDF invoice is generated. Tap in the top banner to open the options for managing the Invoice PDF.
- To print to a connected printer, tap the Print option.
- You may also choose to save the invoice PDF to your device or to iCloud for emailing or printing at a later date.
- Additional tools at the bottom of screen allow you to share the PDF file through other apps on your device, search the PDF, and annotate it.
Email a job invoice
Another option in the 'Reports' tool is to email the Job Invoice or status report.
To email a job invoice or status report:
- Tap the email option from the list of report options. This opens the screen where you can select and specify the email recipients.
In this example, we choose to email the Invoice.
- Tap to select from a dsiplayed email address and/or tap the 'Custom Address' field to add an email address to mail the invoice (or report) to.
- Selected email recipients display a blue checkmark to show they will recieve the Invoice (or report) email.
Tap Send in the red banner when you are done. This send the the invoice or report as an attachment to an email and returns you to the jobs 'Details' screen.
