What does the Date/Time Range filter do?
The Date/Time Range filter is a filter used with the Reports Run Now menu option. It is used to limit the data included in your reports to only those jobs that have time events within the time and date range you specify. This filters out jobs that have dates and times outside the time frame you select.
Read on to find out how this filter is used to select the jobs that are pulled through to your report.
Date/Time Range filter criteria
The Date/Time Range filter uses the following criteria to select the jobs that are reported on:
- Jobs with a Start time (eg: unassigned, pending, accepted, declined, unpublished, postponed, assigned)
The job is scheduled to start within the date and time range selected. This includes Unassigned jobs with a start date. - Jobs with at least one Completed steps (eg: started, paused, completed)
A record of the date and time that steps are completed in a job is saved with the job. Jobs that have steps completed within the date and time range used in the filter are included in the report. - Jobs Without a start date and time (eg: unassigned, canceled)
Jobs without a start date and time assigned are always included in the reports where they match the other filter criteria.
Note: When a job is canceled its scheduled or actual start time is removed from the job and it is included in the report. Deleted jobs are not included in the report.
Note: The date the job is created is not used in this filter.
Tips to get the most from the Date/Time Range filter
- Don’t use the job creation date when using the Date/Time Range filter as the job creation date is not included in this filter. Instead, consider filtering on other criteria that will pull the jobs into the report. This may be the template, scheduled start time, the job status, the customer, the worker, or a combination of these and other filters.
- The Job Status filter includes all job statuses by default - a checkmark displays next to every job status. If you leave this unchanged all jobs that fall within the Date/Time Range filter you have set, regardless of status, are included in the report. This means all Unassigned jobs with no start date and all Canceled jobs will all also show in the report.
You can choose to filter out Canceled Jobs to remove these from the report.
You can also filter out Unassigned jobs, but you will not be able to filter Unassigned jobs with a start date and time separately from Unassigned jobs that don't have this. - The Custom Range option in the Date/time Range filter is restricted to a span of 30 days maximum. If you need to report on a longer time period than 30 days you can run several reports with different time ranges to span the time range you require.
Note: When you choose CSV Export as a report it can have a date range that spans more than 30 days. This is the only exception to the date range limit. It is still limited to reporting data that is saved to vWork - in most instances, this is 12 months. - Be aware that jobs without start times may be up to a year old as vWork’s default data retention setting is 12 months.
How to select the Date and Time
To select the date and time range you can select from the menu of predefined options or enter a customized date and time range.
Note: The date format used is: MM/DD; eg., 12/28 for December 28.
To select from the predefined menu options:
- Click in the Date/Time Range filter box. This displays the list of predefined time range options.
- Click to select the option you want. The time and date range you select shows in the Date/Time Range filter box.
Note: The time range will always begin at 12:00 AM at the start of the time range you have selected and end at 11:59 PM at the end of this time range.
In this example, we have chosen Today from the predefined time range options.
To customize a time range:
- Click in the Date/Time Range filter box and select Custom Range from the options displayed, OR
type over the date or time displayed. Both of these options open the Custom Range selector calendar. - Select the date range and time you require. Review the date range you have selected at the bottom of the window.
- Click Apply to confirm your selection and show it in the Date/Time Range filter box.
In this example, we have selected a date and time range from 8:00 AM December 22 to 8:59 PM December 30, 2021.
